What happens to a nappy hire deposit if something is missing or stained?
What do typical T&Cs count as wear versus damage?
Hire agreements almost never use the word “fine”. They split expected use from replacement. The categories below appear, with similar wording, on My Mini Hippo, Orion’s Cloth Nappies, The Friendly Eco and The Nappy Lady.

The Friendly Eco’s newborn-kit T&Cs go further on stains: “Stains are common and are not considered damage.” That is that retailer’s rule, not a UK-wide standard. Other services still distinguish light poo marks from dye-transfer or rust-style stains.
How do named UK services treat stains and missing pieces?
The Nappy Lady 30-day try-before-you-buy kit (£35 hire + £150 deposit on the page checked) supplies a contents list. A lost item is replaced from the deposit at full RRP. Wear and tear through use is expected; ripped, torn or deliberate damage is charged. Leftover paper liners stay with you and do not count as missing. A later £150 order can reduce the net hire fee to £5, but a missing-item deduction still comes off that credit.
My Mini Hippo and Orion’s Cloth Nappies use almost the same “good condition” test: clean, properly dry, fluff picked out of Velcro, no slack elastics, no damaged PUL, no missing or visibly damaged parts, no pet hair. Light staining does not block the refund. Excessive staining, strong smells or unwashed nappies can hold some or all of the deposit for extra laundering. If the deposit does not cover the retail replacement, both say an invoice follows and is due within a week.
Central Bedfordshire Council describes the Bedfordshire Cloth Nappy Library deposit as £60 to cover loss or damage on a £15 hire. Liverpool Cloth Nappy Library’s newborn kit lists a £100 deposit “to cover any damages”, refunded within five days of a complete return. Those council and library pages do not publish a stain-versus-rip schedule — the booking form or volunteer agreement does.
What should I photograph when the kit arrives?
Deposits are lost at the return inspection. The defence for a mark that was already there is a photo taken before the first wash.
- Tick the contents list the same day Count nappies, wraps, boosters, liners, wet bags, bucket pieces and any nappy nippa. The Nappy Lady and The Friendly Eco both tell hirers to check on arrival and email at once if the kit does not match.
- Photograph every already-marked item Take a clear shot of stains, bobbling, Velcro wear or dye transfer, with the nappy identifier in frame if the service numbered the kit. Mini Hippo and Orion’s already warn that light bobbling and light dye transfer can be present on arrival.
- Keep the written report Send the photos to the address on the hire paperwork the same day. A note in your camera roll without an email is hard to match to a refund three weeks later.
- Return clean, dry and complete T&Cs repeatedly require a dry return. Mini Hippo asks hirers to pick fluff and pet hair out of Velcro. Do not add fabric softener or wash PUL above the stated 60°C cap — those are listed deposit conditions, not wash tips for this page.
How is a deposit refunded, and how long does it take?
Liverpool Cloth Nappy Library says deposits are returned within five days of receiving the nappies. The Friendly Eco refunds after inspection, minus any damage deduction. Mini Hippo and Orion’s refund when the kit is back on time, in full and in “good condition”.
Under the Consumer Rights Act 2015, a contract to hire goods is still a consumer contract. If the trader agrees a refund is due, section 20 says it must be given without undue delay and within 14 days of that agreement. That clock is about refunds the trader accepts, not a promise that every deposit comes back.
Part 2 of the same Act limits unfair terms. A clause that lets a service keep an entire £150 deposit for one missing £8 booster, with no link to the actual replacement cost, is the sort of term Trading Standards guidance treats as open to challenge. Ask for the RRP line that matches the missing piece.
When can a deduction be challenged?
- The mark or missing piece was on the arrival photos you sent the same day.
- The service is charging “excessive staining” for ordinary wee marks that its own T&Cs call normal wear.
- The deduction is a round figure with no RRP for the named item.
- Paper liners were treated as missing even though the T&Cs say to keep them.
- The kit was returned on time with tracked postage dated on or before the end date, and a late fee was still taken.
Write once, attach the list and the photos, and ask for the refund within the 14-day window in the Act once they accept the point. Citizens Advice and your local Trading Standards service are the next step if the reply ignores the published T&Cs.
Paper liners, wet bags and other keepers
The Nappy Lady states you are not expected to return the roll of paper liners. Mini Hippo sells an optional 12-pack of cloth wipes “to keep”. Everything else in those kits — including wet bags and buckets — is expected back. Do not assume a stained wet bag is a keeper; it is usually a charged item if it is ripped or missing.
In shortIn short: light poo stains rarely cost the deposit; a missing booster or ripped PUL usually costs RRP. Photograph the kit on day one and keep the contents list. The Consumer Rights Act still sits behind any hire T&C.
Questions parents ask
- Will a rusty-looking stain always lose the deposit?
- Not on every T&C. Mini Hippo and Orion’s treat light staining as normal and “excessive” staining, especially non-poo marks, as a reason to keep some or all of the deposit. The Friendly Eco says stains are not damage. Send an arrival photo so the return inspection is not the first record.
- What if the deposit is too small to cover a missing nappy?
- Mini Hippo and Orion’s say they send an invoice for the balance, due within one week. The Nappy Lady takes RRP from the deposit and, if you also used the £150-order credit, from that credit. Ask for the named item and its RRP before paying an extra invoice.
- Does smoke or a pet in the house affect the refund?
- Mini Hippo and Orion’s list a smoke-free home as a deposit condition and name pet hair as a reason to withhold money. If you have pets, pick hair out of Velcro before the kit goes back and say so on the return note.
- Can I keep one favourite nappy and pay for it?
- Only if the service offers a buy-out or a shop discount on that print. Library kits are meant to return complete. Paying RRP for a “missing” nappy you decided to keep is the expensive way to buy it.
